Is there an answering service for massage therapists?

Yes. Ansela is an AI phone receptionist for massage therapists and small spas. She answers in your practice’s name while you’re in a treatment, books the length and treatment you offer into your Ansela diary with your turnaround time kept clear, and takes a message for anything she can’t answer. Plans start at £99 a month + VAT.

The call she took while Claire was mid-treatment

An afternoon call to a one-room practice. The caller isn’t sure which massage he needs, switches his evening, and still gets the parking answer.

Example call; Stillwater Massage and the caller are made up.

Intro

This call may be recorded. Thank you for calling Stillwater Massage. Please hold for a moment while I connect you.Recorded, and played before she picks up.

Ansela

Stillwater Massage, Ansela speaking. How can I help?

Caller

Hi, yeah, I wanted to book a massage, deep tissue I think, my shoulders are in bits from the desk. Or is sports massage better for that?

Ansela

I can’t say which suits you best, but Claire can talk it through at the start. Is it an hour you’re after?

Caller

An hour, yeah. Sometime this week, after work.

Ansela

Claire has Wednesday at six or Friday at half five.

Caller

Wednesday. Actually, Friday, I’ve got football Wednesday.

Ansela

Friday at half five, then. Can I take your name and the best number for Claire?

Caller

Tom Hughes, and it’s 07700 900111. Oh, and is there parking?

Ansela

There’s a pay and display behind the building. Just to check, that’s Hughes with a G-H?

Caller

That’s it.

02

What she does for a massage practice, and what she won’t

She works from what you tell her: your treatments and lengths, your prices, the gap you need between clients and your hours.

  • Deep tissue, sports and relaxation treatments, booked at the right length with your turnaround time kept clear.
  • “Do you do couples?” and “Is there parking?” answered from your own list.
  • Gift voucher calls, with the details taken for you to follow up.
  • Moving or cancelling a booking, while you’re still in the room.
  • Won’t give advice about pain, an injury or whether a treatment is right for someone. She books the time and leaves that to you.
  • Won’t book outside your hours or over your breaks. Your evenings stay as you set them.
  • Won’t take payment for a voucher. She takes the details and you send it.

03

What happens when a massage therapist can’t answer the phone?

You’re an hour into a treatment with the door shut and the phone on silent, which is how it should be. Nobody stops mid-treatment to pick up. But someone ringing to book a massage is often trying a few practices, and the one that answers, or rings back first, usually gets the booking.

The calls you lose are mostly new clients. Regulars know you’ll ring back. A first-time caller has no reason to wait, and a “call me back” message gives you a list to chase at the end of a long day.

04

What does an AI receptionist ask someone booking a massage?

Whatever you’ve told her to. Usually which treatment, how long, which day, and a name and number. She offers the lengths and slots you’ve set, with the time you need to turn the room round kept clear after each booking.

She answers the practical questions from your own list: parking, whether you do couples, where to find the door. Prices only if you’ve given them to her. For a gift voucher she takes what the caller wants on it and a number, and you follow up.

05

What if a caller asks about pain or an injury?

She doesn’t give advice about pain, an injury or whether a treatment is right for someone, and she doesn’t say a treatment will help with anything. If a caller asks whether deep tissue or sports massage suits a sore back, she says that’s one to talk through with you, books the time and writes down what they said.

If there is something you want to hear about before you book, such as a recent operation, you can set that as a rule: she takes the details and either puts the call through to your mobile or leaves it for you to ring back. The rule and the wording are yours.

06

Can she book into a one-room practice diary?

Yes, into your Ansela diary, which you can see and change from your phone. You set your days, your hours, your treatment lengths and the gap between clients. She doesn’t connect to Google or any other booking system, so if you take bookings elsewhere as well, check both.

She doesn’t take payment, so voucher and deposit money stays with you. A small spa with more than one therapist can give each their own diary on the Team plan.

Plans start at £99 a month + VAT: see what each plan includes. Paying a per-call service now? See how Ansela compares.

Where the phone usually is while the door’s shut

An empty upstairs landing with the treatment room door shut and rolled towels on a chair
A Tuesday in Headingley. Door shut, towels on the chair, the phone on silent in a coat pocket.

We built Ansela because we kept ringing tradespeople who couldn’t pick up, and then booking someone else. She isn’t a call centre. She answers in your name, says what you’ve told her to say, and writes down what the caller wanted.

If she gets a call wrong, forward us the recording.

08

How do you set up Ansela?

You choose a plan before your number goes live.

For massage therapists and small spas: keep your current number and divert it to Ansela, or take a new UK business number for your website and cards, or use both.

  • Give her your website. She reads it and comes back with your treatments, prices, lengths and turnaround time for you to check.
  • Pick a voice and try her. Have the sore-shoulders call above with her yourself, in your browser, before she takes a real one. Ask her what’s wrong with your back.
  • Divert your mobile. We give you a UK number. One short code diverts your mobile to it when you don’t pick up. Another turns it off.

Questions massage therapists and small spas ask

Can she leave a gap between clients?

Yes. Tell her how long you need to turn the room round and she keeps it clear after every booking.

Can she sell gift vouchers?

She takes the caller’s details and what they want on the voucher. She doesn’t take payment, so you follow up.

Will she tell a caller which massage is right for them?

No. She books the time and leaves that conversation to you. She gives no advice about pain, injuries or conditions.

Can she pick up in the evening when I’ve finished?

Yes, if you leave the divert on. Evening callers get booked into your diary, inside the hours you’ve set.

Do I have to change my number?

No. We give you a UK number and you divert your own to it with a short code (codes by network). Turn the divert off whenever you like.

What is a minute, and can she take two calls at once?

A minute is time she spends on the phone with callers. Starter includes 600 a month, extra minutes are 20p each up to a limit you set, and Starter takes 1 call at a time. A caller who rings while she’s busy can leave a voicemail, which doesn’t use your minutes.

Is there a contract, and what happens after the £1.99 month?

No minimum term. After the first month it carries on at your plan price plus VAT unless you cancel, which you can do from your billing page at any time.

Stay in the room, she’ll take the call.
