The new patient who rang after the lights went off

This is the kind of call a practice gets after closing. She asks about NHS places, and a call back is arranged for the morning.

Example call; Riverside Dental and the caller are made up.

Intro

This call may be recorded. Thank you for calling Riverside Dental. Please hold for a moment while I connect you.Recorded, and played before she picks up.

Ansela

Hi, this is Ansela. How can I help?

Caller

Oh, hiya. I’ve just moved to the area, we only got the keys last week, and I need to register somewhere. Are you taking NHS patients?

Ansela

We’re not taking new NHS patients at the moment, I’m afraid, but we are taking new private ones. Would you like the team to ring you about a check-up?

Caller

Hmm. Go on then. It’s only a check-up really, I haven’t been in about two years. Since before the baby.

Ansela

I’ll get that set up. Can I take your name?

Caller

Nadia Hussain. Hussain with a double S.

Ansela

When’s best for the team to ring you?

Caller

Mornings, really. After ten, once the school run’s done.

Ansela

That’s a call back arranged for tomorrow morning after ten, about a new-patient check-up. Anything else you need while I’ve got you?

Caller

No, that’s it, thank you.

Ansela

Thanks for calling, bye for now.

What she does for a dental practice, and what she won’t

She works from what your practice manager gives her: fees, hours, parking, whether you’re taking NHS or private patients, and the exact wording for anyone in pain.

  • New-patient enquiries, taken with name, number and postcode and passed to reception to book.
  • “Are you taking NHS patients?” and “How much is a hygienist?” answered in the words you’ve approved.
  • Requests to move or cancel an appointment, passed to reception with the patient’s name and number.
  • The calls the desk can’t get to at 8:30, and the ones that come after you’ve locked up.
  • Won’t give clinical advice or judge how urgent something is. She takes the details and passes them on.
  • Won’t deal with pain, swelling or an accident herself. She gives your own out-of-hours arrangement and NHS 111, and 999 where you’ve said so. You set the wording.
  • Won’t say you’re taking NHS patients unless you’ve told her to. And she won’t book into Dentally, SOE or R4: your team books from her note.

03

AI receptionist for dentists UK: what can she do on the phone?

She picks up when your desk can’t: at half past eight when every line is lit, over lunch, and after you’ve locked up. She works from what your practice manager gives her, such as fees, opening hours, parking and what to bring to a first visit, and she says those in your words.

For a new patient she takes the name, a number and a postcode, and what they’re after: a check-up, a hygienist, a cosmetic consultation. Each call arrives in your inbox with a summary, a recording and a transcript for reception to follow up.

04

What happens when a caller is in pain?

That is a rule your practice sets. A caller who says pain, swelling or a knocked-out tooth is given your own emergency arrangement and NHS 111, and you can add that anyone who has trouble breathing or swallowing should ring 999. You write the wording and choose the trigger words.

She doesn’t judge how serious something is, and she gives no clinical advice. She doesn’t tell anyone what to do about a tooth. She reads your words and takes the details for the team.

05

Can she book into Dentally, SOE or R4?

No. She doesn’t connect to practice software, so reception books the appointment from her note. If your practice runs consultations in her Ansela diary, she can book those as well, at the length you set.

Ask your phone provider for divert on busy and on no answer, so she takes only the calls the desk can’t get to.

06

What does she say about NHS patients, and what about patient details?

Only what you tell her to say about NHS places, and nothing more. She never says you’re taking NHS patients unless you’ve set that answer, so change it when your list opens or closes. The GDC registration of your dentists is for you to state. If you want it said to callers, put it in her words.

Callers sometimes volunteer health details, which are special-category data, and the practice is the controller of them. Take advice on what your patients are told about calls and recordings.

Plans start at £99 a month + VAT: see what each plan includes. Paying a per-call service now? See how Ansela compares.

Where the phone usually is when the 8:30 rush starts

An empty dental reception early in the morning, waiting chairs and a card machine on the desk
Thursday, 08:20. Lights on, door still locked, three lines already flashing.

We built Ansela because we kept ringing tradespeople who couldn’t pick up, and then booking someone else. She isn’t a call centre. She answers in your name, says what you’ve told her to say, and writes down what the caller wanted.

If she gets a call wrong, forward us the recording.

08

How do you set up Ansela?

You choose a plan before your number goes live.

For dental practices: keep your current number and divert it to Ansela, or take a new UK business number for your website and cards, or use both.

  • Give her your website. She reads it and comes back with your fees, your hours and your NHS answer for your practice manager to check, along with the out-of-hours wording.
  • Pick a voice and try her. Have the new-patient call above with her yourself in your browser before she takes a real one. Ring as someone with toothache and check what she says.
  • Divert your mobile. We give you a UK number. One short code diverts your mobile to it when you don’t pick up. Another turns it off.

Where callers’ details are kept

Recordings, transcripts and your diary are stored in the UK on Microsoft Azure (UK South), with each company walled off from the others. Recordings and transcripts are deleted after 90 days unless you ask us for a different period.

Some processing happens outside the UK: the AI models run on Microsoft’s service in Sweden, and the phone carrier (Twilio) and the speech service (ElevenLabs) are in the US. For your callers’ data you’re the controller and we’re your processor. Our data processing terms list every supplier, where it is and the safeguards that apply.

Ansela isn’t built to collect health details. Callers sometimes mention them, so don’t set her up to ask for them unless you have a lawful reason to.

Questions dental practices ask

Does she connect to Dentally, SOE or R4?

No. She takes the patient’s details and your team books them in. Each call arrives in your inbox in the app and by email, with the recording and transcript.

What does she say about NHS places?

Exactly what you tell her to say, and nothing else. Change the answer when your list opens or closes.

What does she do if someone has toothache?

She gives the wording you’ve set, usually your own emergency arrangement and NHS 111, and takes their details. She gives no advice about the tooth.

Can she take only the calls we can’t get to?

Yes. Ask your phone provider for divert on busy and divert on no answer, so she only picks up when the desk can’t.

Do I have to change my number?

No. We give you a UK number and you divert your own to it with a short code (codes by network). Turn the divert off whenever you like.

What is a minute, and can she take two calls at once?

A minute is time she spends on the phone with callers. Starter includes 600 a month, extra minutes are 20p each up to a limit you set, and Starter takes 1 call at a time. A caller who rings while she’s busy can leave a voicemail, which doesn’t use your minutes.

Is there a contract, and what happens after the £1.99 month?

No minimum term. After the first month it carries on at your plan price plus VAT unless you cancel, which you can do from your billing page at any time.

When all the lines are lit, let her take the next one.
