Is there an answering service for personal trainers?

Yes. Ansela is an AI phone receptionist for personal trainers and small gyms. She answers in your gym’s name while you’re with a client, answers the questions about packages and hours from what you’ve given her, books the first session into your Ansela diary, and passes on cancellations. Plans start at £99 a month + VAT.

The call she took while Leanne was counting reps

A seven-forty call to a one-unit gym. The caller undersells herself, asks the price, remembers football halfway through, and still lands on Thursday.

Example call; Forge Fitness Studio and the caller are made up.

Intro

This call may be recorded. Thank you for calling Forge Fitness Studio. Please hold for a moment while I connect you.Recorded, and played before she picks up.

Ansela

Forge Fitness Studio, Ansela speaking. How can I help?

Caller

Morning. I’m after some personal training, maybe twice a week, I’ve not really trained before. Well, I did a bit of a couch to 5k in lockdown.

Ansela

That’s fine. Leanne starts everyone with a first session to see where you are. Would you like to book one?

Caller

Yeah. What’s the price after that, roughly?

Ansela

Leanne goes through the packages and prices with you at the first session. She has Thursday at half six in the evening, or Saturday at nine.

Caller

Saturday. No, wait, my son’s got football Saturday mornings. Thursday.

Ansela

Thursday at half six, then. Can I take your name?

Caller

Aisha Khan. K-H-A-N.

Ansela

Thanks Aisha. Is the number you’re ringing on the one Leanne should use?

Caller

Yeah, that’s my mobile.

What she does for a PT studio, and what she won’t

She works from what you tell her: your sessions and packages, your prices, your cancellation notice and your hours.

  • Enquiries and first sessions, booked into your diary around your existing clients.
  • “How much is a block of ten?” and “Do you do small groups?” answered from your own list.
  • Moving or cancelling a session, with your notice period read out the way you’ve written it.
  • A message from a regular while you’re on the gym floor, taken and written up.
  • Won’t promise results or give health or nutrition advice. She books the session and leaves the rest to you.
  • Won’t book outside your hours or over your own sessions. Your early mornings stay as you set them.
  • Won’t charge a late cancellation. She tells the caller your policy, and you decide.

03

What happens when a personal trainer misses a call?

You’re halfway through a set and the phone is in your gym bag. You wouldn’t leave a client mid-rep to answer it, and you shouldn’t. But the person ringing has probably built up to it for weeks, and a new enquiry that goes unanswered often goes to the next trainer in the search results.

Cancellations matter too. A client who rings at seven to say they can’t make eight needs that heard before you’re standing in an empty gym waiting for them.

04

What does an AI receptionist ask someone enquiring about personal training?

What they’re looking for in their own words, how often they’d like to train, and whether they want to book a first session or a trial. She offers the slots you’ve set around your existing clients, then takes a name and number and writes it all up for you.

Questions about price, block bookings, small groups or opening hours she answers from what you’ve given her. If you haven’t told her a price, she doesn’t guess one. She says you’ll go through it at the first session, if that’s how you work.

05

What if a caller mentions an injury, a condition or a weight goal?

She doesn’t give health or nutrition advice and she doesn’t promise results. She won’t say a programme will help with a bad knee or that someone will lose a stone. She writes down what the caller told her so you have it before you meet, and leaves the assessment to you.

If you want to hear about certain things first, such as a recent operation or pregnancy, you can set a rule for it and tell her where to send the call. The wording is yours.

06

Can she book first sessions and handle cancellations?

Yes, into your Ansela diary, which you can see and change from your phone. You set your hours and the gaps between clients, and she keeps to them. She reads out your cancellation notice the way you’ve written it. Whether you charge for a late one is up to you, because she can’t take payment.

She doesn’t connect to booking apps, so if clients also book through one, check both. On Team, each trainer gets their own diary.

Plans start at £99 a month + VAT: see what each plan includes. Paying a per-call service now? See how Ansela compares.

Where the phone usually is while you’re on the gym floor

An empty small gym in an industrial unit, the roller shutter half up and kettlebells on a rack
A Wednesday in Bristol. Shutter half up, first client on the rower, the phone in a gym bag.

We built Ansela because we kept ringing tradespeople who couldn’t pick up, and then booking someone else. She isn’t a call centre. She answers in your name, says what you’ve told her to say, and writes down what the caller wanted.

If she gets a call wrong, forward us the recording.

08

How do you set up Ansela?

You choose a plan before your number goes live.

For personal trainers and small gyms: keep your current number and divert it to Ansela, or take a new UK business number for your website and cards, or use both.

  • Give her your website or your Instagram. She reads it and comes back with your sessions, packages and hours for you to check.
  • Pick a voice and try her. Have the first-session call above with her yourself, in your browser, before she takes a real one. Ask her if you’ll lose a stone.
  • Divert your mobile. We give you a UK number. One short code diverts your mobile to it when you don’t pick up. Another turns it off.

Questions personal trainers and small gyms ask

Can she explain my packages?

Yes, if you give them to her: what’s in each one, how long it runs and the price. She says what you’ve written and nothing more.

Can she stick to my 24-hour cancellation rule?

She tells callers your policy and takes the cancellation. Whether you charge is up to you.

Will she tell people they’ll get fit or lose weight?

No. She makes no promises about results and gives no health or nutrition advice. She books the session and you take it from there.

Can she book my other trainers?

On Team, yes. Each trainer has their own diary, up to 10.

Do I have to change my number?

No. We give you a UK number and you divert your own to it with a short code (codes by network). Turn the divert off whenever you like.

What is a minute, and can she take two calls at once?

A minute is time she spends on the phone with callers. Starter includes 600 a month, extra minutes are 20p each up to a limit you set, and Starter takes 1 call at a time. A caller who rings while she’s busy can leave a voicemail, which doesn’t use your minutes.

Is there a contract, and what happens after the £1.99 month?

No minimum term. After the first month it carries on at your plan price plus VAT unless you cancel, which you can do from your billing page at any time.

Stay with your client, she’ll take the call.
